How to transcribe a phone call to text

A call with a client, a supplier or a doctor is full of details you won't remember later. A transcript lets you search what was said, quote it exactly and stop relying on memory. Here is what you need and how to do it well.

First, are you allowed to record the call?

The rules on recording calls vary by country and, in some places, by state. In many places you can record a conversation you take part in, but using or sharing it may need consent; in others, everyone on the call must agree. Check the rules where you are and, if in doubt, ask a lawyer.

The simplest and fairest approach is to say so at the start («I'm going to record this call to take notes, is that okay?») and respect anyone who says no. At work, if the call involves personal data, the GDPR requires telling people who processes it and why.

How to record a call with clear audio

Audio quality decides transcript quality. If you use speakerphone, record with a second device (another phone or a voice-memo app) close to the speaker, in a room without echo. If you call from a computer, use the recording the calling app offers.

Avoid background noise and ask people not to talk over each other. Some phones and carriers don't allow recording regular calls: check what yours allows.

From file to text in minutes

With the recording saved (mp3, m4a, wav or mp4 all work), upload it to SwiftBOL in Work mode. In minutes you get the transcript with timestamps, a summary, the decisions and the action items with owners. If several people spoke, check who said what on the important points.

What to do with the transcript

Search for figures and dates, copy exact quotes and email the other person a summary of what you agreed: «As we discussed, we agreed to…». A written confirmation avoids misunderstandings and leaves a record.

Check before you rely on it

An automatic transcript can get names, numbers and uncommon words wrong. Check the important details (amounts, deadlines, addresses) against the audio before you act. The Free plan includes 2 hours of audio a month, no card, enough to try it on your next calls.

Try it with your own audio

SwiftBOL turns your meetings and calls into minutes with decisions and action items in minutes. The Free plan includes 120 minutes of audio a month, no credit card required.
