Follow-up email after a meeting: template and examples

A good follow-up email turns a meeting into action: it puts in writing what was decided, who owns each task and by when. It's what prevents the classic “wait, who was doing this?” a week later.

What it should include

A clear subject with the meeting name and date; a short thank-you; a two- or three-line summary; the decisions made; the action items with owner and due date; and the next meeting or next step, if there is one. Nothing else: the shorter it is, the more likely people read it.

Template to copy

Subject: Summary and next steps · [Meeting name], [date].

Hi all, thanks for your time today. In short, we reviewed [topic] and agreed on [main decision]. Decisions: [decision 1]; [decision 2]. Action items: [person] — [task] by [date]; [person] — [task] by [date]. Next meeting: [date and time]. If I missed anything, just reply to this email. Best, [your name].

How to generate it automatically

If the meeting was recorded, SwiftBOL can write this email for you. Upload the recording in Work mode and, when it's ready, open “Create with AI” and choose “Email”. You'll get a draft with the summary, the decisions and each person's action items, based on what was actually said.

Review it, adjust the tone if needed and send it. The same session also has the full minutes in PDF or Word in case anyone asks.

When to send it

As soon as possible, ideally the same day. A follow-up sent the next day arrives when attendees have already forgotten half the details. With the recording processed in a few minutes, you can send it before moving on to your next task.

Try it with your own audio

SwiftBOL transcribes, summarizes, and structures your meetings and classes in minutes. The Free plan includes 2 hours of audio a month, no credit card required.
