How to summarize a Zoom, Teams or Google Meet meeting
After a long video call, someone has to write down what was decided and who does what. If the meeting was recorded, that summary can be ready in minutes. Here's how to do it with Zoom, Microsoft Teams and Google Meet.
Step 1: get the recording
Zoom can record to your computer or the cloud, depending on your plan, and save an audio-only m4a file, which is ideal for transcription. In Microsoft Teams, recordings are usually saved to OneDrive or SharePoint as mp4. In Google Meet, recordings (available on some Google Workspace plans) are saved to Google Drive.
If your plan can't record, you can record the meeting from SwiftBOL in your browser with your computer speakers on (with headphones only your own voice would be captured). Either way, let everyone know you're recording.
Step 2: upload it in Work mode
In SwiftBOL, choose Work mode and the style you need: formal minutes, executive summary, key points or action items and owners. Upload the file (mp4 and m4a work directly) and the result is ready in a few minutes.
If you'd rather not add anyone else to the call, this is your route: you work with the recording once the meeting is over.
Step 3: review and share
You get an overall summary, chapters by topic with their minute, decisions and a list of action items with the owner whenever one is mentioned. On the Unlimited plan it also identifies who is speaking and lets you name each person.
From there, export to PDF or Word, copy the text into Notion or an email, or share a link so people who missed the meeting can read it without an account. And “Create with AI” writes the follow-up email for attendees in one click.
Even easier: let the assistant join for you
From the Standard plan you can skip steps 1 and 2: paste the meeting link into SwiftBOL, or connect your Google Calendar, and the "SwiftBOL Notetaker" assistant joins the call, posts in the chat that it is recording and, when it ends, leaves you the summary just as if you had uploaded the file. It works even if your Zoom, Teams or Meet plan can't record.
Standard includes 2 assistant hours a month and Unlimited 15. We explain it in detail in our AI meeting assistant guide.
A tip for recurring meetings
If you have the same meeting every week, keep all the sessions in one folder. Before the next one, ask the chat “what was left pending last week?”: in two minutes you have the context that usually gets lost.
Zoom, Microsoft Teams and Google Meet are trademarks of their respective owners. SwiftBOL is not affiliated with or endorsed by them; we mention them only to explain how to use their recordings.
Try it with your own audio
SwiftBOL transcribes, summarizes, and structures your meetings and classes in minutes. The Free plan includes 2 hours of audio a month, no credit card required.
